Farmshare Program Agreement

This agreement applies to all members enrolling in a Windridge Farm farmshare program. By completing your enrollment, you confirm that you have read, understood, and agree to the terms below.

1. What You’re Joining

By enrolling in a Windridge Farm farmshare program, you are joining a community-supported agriculture (CSA) arrangement. You commit to supporting the farm at the start of the season, and in return, you share in the harvest throughout the growing season. This means you share in both the bounty and the risk — some weeks will be more abundant than others depending on weather, growing conditions, and other factors beyond anyone’s control.

2. Payment & Commitment

  • All programs are paid up front and are non-refundable once the season begins.
  • Your spot may be transferred to another person if you can no longer participate — contact us to arrange.
  • Interac e-Transfer payments must be sent within 48 hours of enrolling. If payment is not received, your reserved spot may be released to the next person on the waitlist.
  • If you need to cancel before the season starts, contact us with at least 2 weeks’ notice and we will issue a full refund minus any processing fees.

3. Credit System

Pick As You Go Members

  • Credits are loaded to your account upon payment confirmation (1 credit = $1 at farm value).
  • Credit packages include bonus credits — Small packages receive a 10% bonus, Large packages receive a 12% bonus. This is your member discount.
  • Your selection reserves your items; credits are deducted at pickup. Making your weekly selection by the Wednesday 7:00 PM cutoff reserves those items for you. No credits are held at selection — the deduction happens at pickup, for what you actually take home.
  • Unused credits expire at the end of the season and do not carry over.
  • Top-ups are available when your balance falls below $35.
  • Some items may have per-member quantity limits to ensure fair access. Limits vary by item and week.

Full Harvest Members

  • You receive a curated box each week. Your box is pre-paid as part of your season package — no credits are used for the box itself.
  • If you have a credit balance (for example, from converting a planned absence to credits), you can spend it on add-on items or store goods at pickup. There is one credit pool — any credit can buy anything available.
  • Any remaining credits expire at season end.

4. Weekly Box & Harvest Variability

  • Box contents change weekly based on what is harvested. Expect a mix of vegetables, herbs, and greens depending on the season.
  • The farm has final say on box composition. Substitutions may occur if a planned item is unavailable due to weather, pests, or crop conditions.
  • Product images and descriptions are representative — actual produce may vary in size, appearance, and variety.
  • Some weeks may yield more or less than others. This is the nature of farming and the shared-risk model you are participating in.

5. Swaps (Full Harvest Only)

  • Each week, you may swap 1–2 items from your box at the swap table, depending on what surplus items are available that week.
  • Swaps are 1-for-1 — one box item for one swap item. No credit math is involved.
  • Swaps can be requested online before the Wednesday 7:00 PM cutoff, or in person at pickup from the swap table.
  • Swaps are equal-value, item-for-item. If no swap item appeals to you, the item you declined is simply left out of your box — there is no return-for-credit and no credit is issued.

6. Exclusions

  • You may set a permanent exclusion list of items you never want in your box (Full Harvest) or default selections (Pick As You Go).
  • Excluded items are simply omitted — no replacement item or credit is provided for excluded items.
  • You can update your exclusion list at any time from your member dashboard.
  • Setting many exclusions may result in a smaller box some weeks.

7. Absences & Missed Pickups

Planned Absences

  • When you know you’ll be away, choose from your member dashboard what you’d like to happen to that week’s box. The options depend on whether you’re a pickup or delivery member:
    • Someone receives it at your home (delivery members) — your box is still delivered and whoever is there receives it. No notice needed; reporting it is optional and just for your records.
    • Someone collects it at the farm — they bring your 4-digit Member ID code. If you’re a pickup member, no advance notice is required. If you’re a delivery member and want your box held at the farm instead of delivered, you must report it before the cutoff so we route it to farm-collection rather than sending it out.
    • Convert the week to credits (Full Harvest only) — if no one is collecting and you report before the Wednesday 7:00 PM cutoff, your box value is added to your credit balance to spend later. This option is available up to 3 times per season.
  • Only the convert-to-credits option uses one of your 3 per-season allowances. Reporting that someone will collect (at home or at the farm) is informational and doesn’t use up an allowance.
  • For Pick As You Go members, an absence simply means you don’t select that week — your credits stay on your balance.

Missed Pickups (No Absence Reported)

  • Full Harvest: Your box was packed and its value is forfeited — this is part of the CSA commitment. No credit is issued.
  • Pick As You Go with defaults: Default items were packed and credits were deducted at pickup.
  • If you contact us significantly late, we cannot guarantee your box will still be available — due to storage and perishable concerns, uncollected items may be donated or shared among other members.

Late Pickup & Rescheduling

  • To request a different pickup time, submit a reschedule request from your member dashboard at least 24 hours before your scheduled pickup, with a proposed date.
  • The farm will either approve your proposed time or suggest an alternative. A reschedule is not confirmed until both you and the farm agree — please don’t assume the new time until you’ve been notified that it’s confirmed.
  • A reschedule may incur a fee. If a fee applies, you can pay cash at pickup, with credits, or by a Square payment link.
  • Delivery cannot be rescheduled as delivery. If a delivery member reschedules, that week converts to a farm pickup.
  • If contact is made significantly late, your box may no longer be available — due to storage and perishable concerns, uncollected items may be donated or shared among other members.

Someone Else Collecting

  • There is no generated pickup code. If someone else is collecting your box, they bring your box and your 4-digit Member ID code.
  • A delivery member who wants the box held at the farm instead of delivered must report the “farm pickup” option from the dashboard before the cutoff so we don’t send it out. For a pickup member, someone collecting at the farm on your behalf is welcome with your code and needs no advance notice. A delivery box collected at your home needs no notice.

8. Pickup & Delivery

Farm Pickup

  • Pickup is every Thursday. Members may come anytime 4:00–7:30 PM. The public farm stand is open 5:30–7:30 PM.
  • Have your 4-digit Member ID / barcode ready on your phone for check-in.
  • Bring back your empty crate to swap for this week’s box (see Baskets & Crates below).

Local Delivery (If Selected)

  • Delivery runs Thursdays between 2:00–6:30 PM. Delivery fees vary by zone.
  • Please leave your empty crate (and last week's basket) out by the side door for the driver.
  • If no one will be home, please leave a cooler out by the side door so your produce stays fresh.
  • Bring perishables inside promptly after delivery — the farm can't cover spoilage once your box has been dropped off.
  • Severe weather may delay deliveries — we will contact you if your delivery is affected.

9. Baskets & Crates

  • Each member receives a reusable crate with their weekly box.
  • Crates must be returned every week — bring your empty crate to your next pickup, or leave it out for the driver if you receive delivery.
  • Lost or damaged crates will be charged at $7.50 per crate.
  • Please rinse crates before returning — no need to sanitize, just remove any produce residue.

10. Cancellation & Transfers

  • Once the season has begun, your enrollment is non-refundable.
  • You may transfer your spot to another person at any time — contact us with the new member’s details.
  • If you need to cancel before the season starts, contact us with at least 2 weeks’ notice and we will issue a full refund minus any processing fees.
  • This agreement does not affect your rights under the Ontario Consumer Protection Act, 2002.

11. Waitlist

  • If the program is full, you may join the waitlist at no charge.
  • If a spot opens, you will be notified by email in waitlist order.
  • Joining the waitlist does not guarantee a spot or require payment until you are invited to enroll.

12. Communication

  • We will contact you by email for weekly updates, pickup reminders, and important notices.
  • You must keep your email address current. Missed communications due to outdated contact info are your responsibility.

13. Privacy & Your Data

  • Your personal information (name, email, phone, dietary preferences, delivery address) is collected to manage your farmshare membership and is handled in accordance with our Privacy Policy.
  • We do not sell your personal information.

14. Governing Law

This agreement is governed by the laws of the Province of Ontario, Canada.

15. Changes to This Agreement

We may update this agreement before a new season. Any changes will be communicated before the next enrollment period opens. Your continued enrollment constitutes acceptance of the updated terms.
